Understand the four formats
MICE brings together meetings, incentives, conferences and exhibitions. A leadership meeting prioritises focused discussion; an incentive trip rewards achievement; a conference connects learning and networking; an exhibition supports discovery and business conversations. Define the principal purpose before combining formats.
Choose a destination through practical criteria
Compare connectivity, hotel availability, meeting facilities, seasonality and the group’s travel needs. Domestic programmes may suit Delhi NCR, Mumbai, Bengaluru, Goa or Rajasthan. International options such as Dubai, Singapore or Bali need destination-specific planning. Entry requirements and travel conditions should be checked for each participant before commitments are made.
Create one guest journey
Map the programme from invitation to departure: registration, travel information, arrival transfers, hotel check-in, business sessions, shared experiences and return travel. Ensure guests know where to be and who to contact. Consider dietary preferences, mobility needs and time for rest alongside the business agenda.
Control scope and commercial decisions
Separate venue, accommodation, transport, production, experiences and contingency allowances in the budget. Confirm what suppliers include, payment milestones and change terms. Rooming lists and travel manifests need clear ownership and a process for late updates.
Make the experience relevant
Incentive travel and corporate offsites work best when the itinerary reflects the people attending. Balance hosted activities with free time, and connect team engagement to the programme’s purpose. A coordinated destination management plan helps business content and hospitality feel like one experience.
